(Part-Time) Admin & Operations Assistant / Office Manager

We’re looking for a cheerful, organized, supportive and tech-savvy individual to join our team as a Part-Time Office Manager Assistant.

Organized: We need lots of help keeping track of deadlines, filling out statutorily required forms, and helping with scheduling. People are always forgetting important dates, and you’ll need to be incredibly organized to help them out!

Cheerful and Supportive: If you love finding ways to brighten people’s day, you’d be ideal for this role. While we’ve provided some sample responsibilities, we’d love if you continuously suggested new ways you could make everyone’s lives easier.

Tech-Savvy: We use a lot of tools at work. While we are happy to teach some of these skills on the job, you’d be a great fit if you are already fluent at using: Google Mail / Calendar, Airtable, Markdown, 1Password, Dropbox. We also value confidence and the ability to pick up new technologies quickly.

The ideal candidate will spend 60% of the time working on recruitment projects, and 40% on operational tasks. Excellent communication skills, a strong ability to prioritize tasks and meet tight deadlines will ensure your success in this multi-faceted role.

Responsibilities

Recruitment Support

  • Assist the Recruitment team in sourcing candidate or other recruitment related activities for EXTERNAL CLIENTS
  • Ensure legal compliance of Taiwan Labor laws and applicable employment laws, and update policies and/or procedures as required
  • Assist in searching, collating and processing research materials and information on various topics.

Office Support

  • Perform office support and clerical work e.g. photocopying, scanning, mailing etc.
  • Conduct outdoor delivery & collection of items such as going to bank, post office, shops etc.
  • Assist in keeping our office and pantry clean, tidy and organized. Ensure our office is stocked with sundries (drinks, fruits etc.)

Admin Support

  • Manage calendars, meeting schedules, and other administrative duties.
  • Handle all personal support, activities and needs of the team members.
  • Think up and assist with any miscellaneous tasks that can -make people's lives easier (e.g. arranging maids, picking up laundry, etc.)

Hard Requirements

  • Business fluent in both spoken / written English and Chinese (IELTS 6.5+ overall is ideal). Cantonese ideal.
  • 1-2 years Recruitment/HR/Admin experience is preferred but not a must

Soft Requirements

  • Tech-savvy who can easily pick up new technologies and glue things together.
  • High attention to details, accuracy, and follow-through. Highly organized.
  • Ability to take the initiative to resolve problems with minimal supervision and instruction.
  • Able to handle confidential information with discretion
  • Able to work in a fast-paced and dynamic environment with changing priorities. Ability to respond to requests in a timely manner.
  • Must possess strong interests in Recruitment

Time Requirements

This is a role with a lot of flexibility! You can work from home for most of the time, although there will be some times when you’ll be required to be in our office.

We forecast that this role will take ~10-30 hours per week, mostly spread out as we’d expect you to check and respond to emails at least twice a day to help with scheduling.

Of course, if the role takes more time or you find additional ways you’d like to help support us, we’d be happy to increase the hourly allotment.
